Dance Director, Inc. ("Dance Director", "we", "us", or "our") is committed to protecting the privacy of studio owners, staff, students, and parents who use our platform. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the Dance Director service, you agree to the collection and use of information as described here.

1. Information We Collect

We collect information you provide directly to us, information generated through your use of the Service, and in some cases, information from third parties.

Account & studio information

  • Name, email address, and password when you register
  • Studio name, address, and contact details
  • Billing and payment information (processed by our payment processor — we do not store full card numbers)

Student and family data you enter

  • Student names, dates of birth, and enrollment details
  • Parent and guardian contact information
  • Attendance records, class history, and notes
  • Payment and invoice records

Usage and technical data

  • Log data including IP address, browser type, pages visited, and timestamps
  • Device information and operating system
  • Cookies and similar tracking technologies (see Section 7)

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Dance Director platform
  • Process payments and send billing communications
  • Send service-related emails, including account confirmations, invoices, and support responses
  • Send product updates and feature announcements (you may opt out at any time)
  • Monitor and analyze usage patterns to improve performance and user experience
  • Detect, investigate, and prevent fraudulent transactions and abuse
  • Comply with legal obligations

We do not sell your personal data or your students' data to third parties. We do not use student data for advertising purposes.


3. Student & Minor Data

Dance Director is a business tool used by studio operators. Student records — including records of minors — are entered into the platform by the studio operator (you), not collected directly from students or their parents by Dance Director.

As the studio operator, you are responsible for obtaining any necessary consent from parents or guardians before entering minor student data into the Service, and for complying with applicable laws such as COPPA (Children's Online Privacy Protection Act) and FERPA.

Dance Director processes student data solely as a data processor on your behalf, under your instructions, and only as needed to provide the Service. We do not use student data for our own marketing or analytics.


4. How We Share Your Information

We share information only in the following limited circumstances:

  • Service providers: We share data with trusted vendors who help us operate the Service (e.g., cloud hosting, payment processing, email delivery). These providers are contractually bound to use your data only to perform services for us.
  • Legal requirements: We may disclose information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Dance Director, our users, or the public.
  • Business transfers: If Dance Director is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before your data is transferred and becomes subject to a different privacy policy.
  • With your consent: We may share information for other purposes with your explicit consent.

5. Data Retention

We retain your account and studio data for as long as your account is active, or as needed to provide the Service. If you close your account, we will retain your data for up to 30 days to allow for account recovery, after which it will be deleted from our active systems.

Some data may be retained for longer periods where required by law (e.g., financial records) or for legitimate business purposes such as resolving disputes or enforcing agreements.

You may request an export of your data at any time from your account settings or by contacting us at support@dancedirector.io.


6. Data Security

We take the security of your data seriously. Dance Director uses industry-standard measures to protect your information, including:

  • Encryption in transit (TLS/HTTPS) and at rest
  • Access controls limiting employee access to personal data on a need-to-know basis
  • Regular security assessments and monitoring
  • Secure, SOC 2-compliant cloud infrastructure

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately at support@dancedirector.io.


7. Cookies & Tracking

We use cookies and similar tracking technologies to operate and improve the Service. Cookies are small text files stored on your device that help us remember your preferences and understand how you use the platform.

We use the following types of cookies:

  • Essential cookies: Required for the Service to function (e.g., keeping you logged in). These cannot be disabled.
  • Analytics cookies: Help us understand how users interact with the Service so we can improve it. We use anonymized, aggregated data only.
  • Preference cookies: Remember your settings and personalization choices.

You can control cookie settings through your browser. Disabling non-essential cookies will not affect your ability to use the core features of Dance Director.

  • Correction: Request that we correct inaccurate or incomplete data
  • Deletion: Request that we delete your personal data, subject to legal retention requirements
  • Portability: Request your data in a structured, machine-readable format
  • Opt-out of marketing: Unsubscribe from promotional emails at any time via the link in any email we send

If you are a parent or guardian and believe your child's data has been collected without your consent, please contact us immediately and we will promptly remove it.


9. Third-Party Services

The Service may contain links to third-party websites or integrate with third-party tools (such as payment processors). This Privacy Policy does not apply to those third parties. We encourage you to review the privacy policies of any third-party services you use in connection with Dance Director.

Our primary payment processing partner handles all card transactions. We do not store full payment card numbers — only the last four digits and card type for display purposes.


10. International Data Transfers

Dance Director is based in the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.

By using the Service, you consent to the transfer of your information to the United States. We take steps to ensure that such transfers comply with applicable law and that your data receives an appropriate level of protection.


11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and/or by posting a prominent notice within the Service at least 14 days before the changes take effect.

We encourage you to review this page periodically. Your continued use of the Service after any changes become effective constitutes your acceptance of the revised policy.
